Candidate Submission Do’s and Don’ts

To help make the submission process quick and easy for you, here are some common errors we see on applications and how to avoid them. We want to get your certificates back to you as soon as possible and following these tips will cut down on the extra emails you get from us. If everything on your application is filled in correctly and the right documents are attached, you won’t have to hear from us until your certificates have been shipped! What do we need?

There are two things that we need to certify your candidates’ scores:

  • Candidate Sheet

  • Test Reports

The Candidate Sheet is a complete list of your candidates and all of the necessary information about them. This sheet is used to auto-populate the certificate so what is written here is what gets written there.

The test reports are the proof of proficiency in their second language of certification. These need to be the official test reports with the candidates’ names, grades, and scores. They need to be sent in an uneditable format, such as a PDF or .png file.

What do we get?

Often, we receive submissions that have these common errors. We are pointing them out now so you do not make the same mistakes:

  • Incorrect Award Levels

  • Misspelled Names

    • Either by spelling or wrong order of first and last name

  • Test scores entered incorrectly, in the wrong order, or in the wrong column

  • The same First and Second Languages of Certification

  • Missing Test Reports

  • An empty ELL column

  • Entries written in all capital letters

    • We do not print in all capitals, so if you submit like this we will have to manually rewrite every word and that could take a while

  • An incomplete mailing address

    • Either it does not have all of the lines or it is missing information such as a suite or apartment number

Some things to note:

In order to sustain offering the Global Seal of Biliteracy for free, we do charge for reprinting certificates. If you misspell a name on the Candidate Sheet, that will be how it is printed on the certificate. You can order a corrected certificate for $6.90 through our online shop.

We do our best to catch spelling errors, and we think we get most of them, but GSB does not assume responsibility for any misspellings that are not caught before printing.

2. What our policies or requirements are for the issue

3. What I need from you to resolve the issue
